Uniform Buy Back Sale at DMS

Dear Parents,

DMS Band is hosting a buy back sale this Saturday, August 16th at 10:00. If you have old band uniforms pieces from DMS and would like to sell them, this is your opportunity. The band room will be open at 9:00 for parents to drop off old uniforms.

The DMS band parent committees chairpersons discussed setting prices for these items according to the following list. Basically, items are requested to sell at about half the original price. Of course, there may be exceptions and we will handle any situation as it arises.

Black DMS Polo with logo on left side (orig $$25) sell for $15

Tuxedo pants (originally $40) sell for $20

Tuxedo shirt w/buttons and cuff links (orig $30) sell for $15

If buttons or cuff links not sold with shirt, then shirt would be $10

Separate buttons & cuff links sell for $5

Black bow tie (orig $7) sell for $3 or $4

Black marching shoes (orig $35) sell for $10-$18 (prices will vary based on wear)

This is a very important meeting. I hope that all of you will be able to attend.

We will try to keep it as short as possible. We will have an overview of the Marching season, fundraising opportunities, issue uniforms, and opportunity to sign up to volunteer. We will also have spirit wear available for sale.

After the meeting the uniform committee will be issuing uniforms. In order to receive your uniform you must:

1. Sign and turn in the signature page of the uniform agreement (attached to this email)

2. Pay band booster fees and class fees

3. Pay for compression gear – $30 for shorts ,bag, and dry fit t-shirt or $15 for bag and dry fit t-shirt. All students will be getting a new bag and dry fit t-shirt.

4. Turn in all forms — Out of County Field Trip (notarized) copy of medical insurance card, Band Registration form, Band Contract.

All of these can be turned into the box in the band room by August 14th (preferably) or at the meeting. If you have any questions, please contact me.

Volunteer Opportunity Sign up, Part 2 Concessions

I apologize for having the resend this email. There was a problem with many of you receiving it because of the zip file attachment. We will not do that one again. Living and learning is what I am doing. The attachments included concession stand job descriptions and rules and guidelines. These can be found on the BJHS Band website under Parent Info, Volunteer Opportunities. Please take the time to read them. Thank you!

August 2014

Dear Marching Band, Color Guard, and Dance Team parents,

Welcome to the Bob Jones Marching Band Concession Season 2014/15.

For many years the BJHS Band Boosters have been given the opportunity to run the Madison City Stadium concession stand during all BJHS football home games. This is our biggest annual fundraiser and we recognize it as a privilege, knowing many other school organizations would love to have this possibility. Therefore, we try our best to provide good quality food and friendly service as well as making it a fun and pleasant experience for all involved.

There are quite a few jobs to choose from and my goal is to give you more information so you can choose the ones that suit you best. As a seasoned concession worker, you may already know what job you want, but if you don’t, or you’re a parent of a new member, take a look at the “Concession Stand Job Descriptions” which should help you find the options that will work best for you.

Some jobs can be rather stressful and require constant attention, especially during well visited games (cashier). Others don’t need as much attention to detail (food handler), smell good (popcorn) and even allow you to bring a chair (bleacher barrels) to watch the halftime show and game. If you have an outgoing personality, love to interact with people and have a healthy back, you might like to carry a belly tray for the evening to sell concessions in the bleachers. Fans and visitors are equally grateful for this service, and we’ve found it brings our revenues up quite a bit as well. These are only examples. Please refer to the “Concession Stand Job Descriptions” for more choices, and keep in mind that should there be a shortage of volunteers, or last minute duty cancellations, we might have to ask you to be flexible and possibly work a job you have not chosen on the signup.

On the signup you will also notice that we need volunteers for “stocking duty” on Wednesday mornings before Friday Varsity games. These are short shifts and if you can sign up for all of them, they will count them as 1 fulfilled duty. If you consider signing up for “stocking duty”, please sign up for all 4 that are currently on the band calendar or contact me for help. We only have 4 of those days during regular season, possibly 5.

If 2 people work 1 shift each for the same student one night, all concession duties for that student’s reduced marching fee will be fulfilled. This doesn’t mean you can’t work again! If you find working concessions is something you enjoy, you are always welcome to volunteer, especially during games towards the end of the season or possible playoff games.

Important dates for many families are Homecoming (9/26) and Senior Night (10/24). When signing up to work, please understand that the concession stand gets quite busy during half time and volunteers cannot leave the stand to participate or watch special events. If the ceremonies are important to you, please don’t sign up for those nights. If you won’t be participating in the ceremonies, taking your duty one of those nights will be greatly appreciated to allow others to participate.

Please read over our “Concession Stand Rules & Guidelines”. Most of these rules are mandated by the County Health Department. We are subject to inspection and never know when an inspection may take place. Violations result in deductions from the 100 point scale they use for their food service permits, so we strictly adhere to their rules at all times.

To further stress the importance of these rules, I will attach them to reminder emails that will be sent 2 days prior to your chosen duty dates. Please confirm these reminders by either return email or text to my cell phone (256-617-2752) to avoid a follow up call. If you find yourself unable to fulfill a job you’ve signed up for, please make an effort to send a replacement volunteer in your place. That person can either work for you or get credit for their student. Please notify me of any changes as soon as possible.

Last but not least, don’t hesitate to contact me by phone, text or email for further questions, concerns or accommodation of special needs. I will do my best to honor your preferences.

Thank you very much for bearing with me through this long letter. I hope I was able to answer most of your questions.

Volunteer Opportunities, Part 1

Dear Parents,

Welcome to the 2014 Marching Band Season! I hope that your family is off to a good start.

This is the kick off of Volunteer Sign Up!

There will be two emails concerning volunteer opportunities. This one, Part 1, and another one, Part 2, all about concessions stand volunteers.

In taking this job I have come to realize the enormity of the marching band and what it takes to get the kids onto the field. Everything from uniforms, to water, to popsicles, to chaperones, to forms galore. All of these are important. It also takes money. We all pay band fees but that is not enough. We make the majority of our money for the general fund in the concessions stand at the football games. Last year we made about $20,000. It is important that everyone participate.

Please remember that when you paid your fees for Band Boosters that there were two options, one with a volunteer discount and one without. In order to receive the volunteer discount we need your family to volunteer twice in the concessions stand and to fill one other volunteer slot.

Volunteer Needs:

Chaperones – 10 Chaperones are needed for every game. For a detailed job description, go to the BJHS Band website under Parent Info, Volunteer Opportunities. Chaperones account for all of the students riding their bus and help with duties in the stands. If you have any questions, please contact Sherry Rist at sherryrist@gmail.com or Kirsten Lewis at eagle.kirsten.lewis@gmail.com

To sign up to be a Chaperone at a particular game go to the BJHS Band website: https://bjhsband.com/

Select Calendar from the menu across the top or find the “VOLUNTEER” button in the middle of the page

On the calendar look for the Friday night games with a hand icon and click on it

This will take you to the sign up for that particular game

Fill in the information and you are done!

Because this calendar is linked through CHARMS you may be asked for a school code. You can follow the steps to get the school code (select state, city, school) or enter: BJonesHSBand. Press “Enter CHARMS”, then “Public Calendar”. This will take you to the calendar.

Uniform Committee — This is a committee of 8 people to rotate working for all games, competitions and parades. For a detailed job description, go to the BJHS Band website under Parent Info, Volunteer Opportunities. Members will also help with issuing and turning in uniforms. We need two more people for this committee. Please email Amy Crosby if you are interested at: amy.cook.crosby@gmail.com

Truck Drivers/Equipment

1) Equipment Truck Drivers- Oversee band equipment loading, halftime support, drive/ride from the band room to the game and back.

2) Halftime Band Equipment Support: Help the band members get their equipment on and off the field for the halftime show.

Please contact Mike Delmas at mrdelmas@aol.com if you are interested in helping with either of these positions.

Photographers/Videographers – It is so fun to look at pictures up close of our kids in the stand and on the field. Some of you have already said that you would be interested in doing this. Please email Cindy Leaphart at cindyleaphart@gmail.com

Nurses — If you are currently licensed in AL and would be willing to rotate games, parades and competitions with others, please email Cindy Leaphart at cindyleaphart@gmail.com

Treasurer/Money Counting Committee — This would be a group of 6 people that would count the money from the concessions starting about the beginning of the 4th quarter until all of the money has been counted. Please contact Kathy Gereski at dgereski@knology.net

Fund Raising Committee – Fundraising volunteer opportunities will arise throughout the year and we hope you’ll be able to help. Some of these will be “done in a day, while others such as processing orders for fundraisers, ticket sales, distribution of pecans and other items sold, and spirit wear sales will come up more often. Thank you in advance for your help. We look forward to working with you. Please contact Angela Gary at 256-837-2457 or GarysinAL@knology.net to help with spirit wear, or Lou Justice at 256-830-8319 or LouJ77@aol.com to help with other fundraisers.

Also remember to look at the Volunteer Opportunity Part 2 Email concerning concessions volunteers.

Thank you for helping to make 2014 a successful marching season!
